Administrative Assistant

Hours: FT, 37.5 hours/week, M-F 9-5 with evenings as needed.
Salary: $17-$25 to start, depending on experience and qualifications.

Join our supportive and dedicated staff, who work with our diverse community at this District Library. The population of 57,000 lives in the Village of Niles and unincorporated Maine Township in Des Plaines and Glenview. We are proud to be rated as one of America’s Star Libraries 2020!
We are looking for a person with excellent organization and people skills to assist the Executive Director and management team to ensure the smooth functioning of the library.

Responsibilities:
This position helps support the administrative functions of the library, ensuring that legal deadlines are met, and that patrons receive prompt response when contacting Administration. The job includes a wide variety of activities, so it requires a flexible attitude and the ability to prioritize and pivot as needed.

Some of the tasks include:

  • Preparing the monthly and special Board packets
  • Attending Board meetings and writing minutes
  • Purchasing and receiving from vendors to meet department needs;
  • Preparing correspondence
  • Maintaining excellent records
  • Tracking and corresponding with job applicants and distributing resumes to supervisors
  • Serving as a Notary Public
  • Many other duties as needed

Requirements:

  • High School diploma
  • At least three years of successful experience in an office or clerical setting
  • Ability to learn and use computer software and hardware tools
  • Competence with Microsoft Office products
  • Excellent organization skills and ability to work in an orderly, systematic fashion
